5 Tips for Event Planning in Colorado
The spring is a great season to celebrate. From graduations to baby showers, birthdays, team banquets, and more, it’s ‘prime time’ to gather with friends and family. While these events can result in lasting memories, planning and hosting a great party can be intimidating. In this article, I share tips to make your event planning fun and stress-free.
1. Set a budget.
Hasty planning often results in higher expenses. Bigger ticket items tend to include food, drinks, and a party venue. How many guests are you expecting? Are you offering snacks or a meal? Mocktails or cocktails?
Beware of hidden or unanticipated charges that can come as a surprise, particularly related to the venue rental. The hourly rates at Confluence include everything that would likely be needed to host a great party (tables, chairs, and the a/v system, for instance). Other venues might charge these items as ‘add-ons’ or surprise you with an ambiguous ‘service fee’.
2. Get the vibes right with the right space.
Are you going for something traditional and formal, or something more casual? The answer to this question will inform decisions you’ll need to make along the way.
For example, a Lafayette, Colorado family was recently in search of an affordable, welcoming space that would offer just the right amount of ‘unique’ to host their daughter's quinceañera. 3. Secure a venue.

How hard do you want to work cleaning your house before and after the event, and where will everyone park? Restaurants often require steep food and beverage minimums to reserve private space, but booking a private venue doesn’t have to break the bank. Whatever you decide, the most popular venues often book up well in advance, so don’t wait until the last minute.

4. Plan your food and beverages.
If you’re reserving party space in a restaurant, they’ll work closely with you to select an offering that meets your budget. This will often require a minimum spend to ensure they make their numbers. Other venues may or may not require specific ‘approved’ caterers or other vendors.

5. Don’t rush it.
Include plenty of time before your guests arrive to adjust the setup, add a few decorations, and clean up once they’ve left. More budget-friendly venues will ask you to remove your decorations and put out the trash before you leave. By booking an extra 30-60 minutes, you can avoid extra cleaning fees and impacting another user’s event.
